Submitting Translated Documents

If you need to submit documents in a language other than English, you must also provide approved translations.

The following entities are authorised to provide translations:

  • The awarding institution
  • A government agency
  • NAATI (National Accreditation Authority for Translators and Interpreters)

NAATI is the preferred provider for translations. You can find accredited translators and interpreters on the NAATI website.

Translated documents must be uploaded to your VTAC account as high-quality, clear, and full-colour scans. Digitally signed PDF versions of NAATI-translated documents are also accepted.

Personal Information & Location Category Requirements

Applicants do not need to submit additional documentation for Personal Information & Location Category of Equity Schemes (SEAS) & Scholarships. Institutions will assess your eligibility based on the details provided in your account.

Evidence Requirements for Disability or Medical Condition Category

After submitting your Equity Schemes (SEAS) and Scholarships application, you must obtain a statement of support from a health practitioner familiar with your condition.

This statement should:

  • Briefly describe your condition
  • Explain how it has impacted your education

It is your responsibility to ensure this statement is submitted.

Health Practitioner Requirements

  • You must provide an official diagnosis from a specialist (e.g., physiotherapist, psychologist, counselor).
  • If a specialist is unavailable, a diagnosis from a general practitioner (GP) is acceptable.
  • A statement from a school nurse confirming the impact on your education is also acceptable.

Responsible Person Criteria

The health practitioner must:

  • Be at least 21 years old
  • Have known you for at least 12 months (or the entire duration of your condition)
  • Not be a relative or someone you live with

Evidence Required for Your Application

The types of evidence needed depend on your specific circumstances and the information provided in your course application. The required evidence will be listed in the ‘Evidence required’ table on the ‘Providing evidence’ page in your VTAC account and in the checklist on your home page.

Australian or New Zealand Qualifications

VTAC can electronically access Australian Year 12 results and Australian tertiary results from most major universities. If VTAC cannot access your results, or the electronic matching process fails, you will be notified that supporting documents are required. If evidence is required, you must provide official transcripts and certificates of completion (if qualification is completed).

Overseas Qualifications

For most overseas qualifications, evidence is required as VTAC cannot electronically verify these results. You will be notified of the specific evidence required after submitting your course application.

Required documents may include:

  • Official academic transcripts/mark sheets
  • Completion certificates (if applicable)
  • College admissions test results (e.g., USA or China)

If your documents are not in English, you must provide a certified translation from a NAATI translator.

Equity Schemes (SEAS) and Scholarships

Evidence is required for most equity categories (except Personal information & location). Without appropriate evidence, the application will not be considered. Additional evidence for scholarship categories such as community service or leadership do not require extra supporting evidence.

English Language and Admissions Tests

Some applicants are required to sit an English Language test, or STAT test in order to be considered for entry. Applicants will be notified of the specific evidence required based on their circumstances and should only submit the requested documents.

Submitting Supporting Evidence

You may need to provide evidence to verify your account details and support your application. When uploading files, ensure they are in PDF or JPEG format and do not exceed 5MB. Photos may be rejected if they include excessive background around the document.

Academic Documents

  • Upload clear, colour scans of official transcripts or certificates.
  • My eQuals PDFs must have the blue signature verification banner intact.
  • Unofficial transcripts or school portal results/reports will not be accepted.

Admissions test Documents

  • English-language, or STAT test results (if requested).

Equity Schemes (SEAS) & Scholarships Documents

Some categories require:

  • A statement of support, completed by a responsible person.
  • A statement of support, completed by a medical practitioner (for Disability or Medical Condition category)
  • A Centrelink statement showing payments since three months from applications opening (i.e., May for main-round applications and January for mid-year applications).

What to do when documents are accepted or rejected

Once you submit requested documentation VTAC will assess the documents and accept it or provide a reason for rejection.
 
If your documents are accepted:

Typically no further action is required. However, your submission may contain documents that are accepted and others that must be rejected. Always check your Providing Evidence page to see if any further documents are required, and check your VTAC account and email inbox regularly for any emails from VTAC.
 
If your documents are rejected:

  1. Check the reason for rejection
    • Log into your VTAC account and navigate to the ‘Providing evidence’ tab.
    • Scroll down the evidence page to view rejected documents.
    • Review the 'Rejected reason column to understand why your document was rejected.
  2. Take the necessary action
    • Ensure you provide the correct documentation as per the instructions given in your account.
    • Resubmit the required document as soon as possible.

When Evidence Is Not Required

Not all applicants need to provide evidence for their claims. If you do not see an upload option, this means no additional documentation is required for that claim.

Instances where evidence is not required:

  • Your academic results can be electronically matched.
  • You have only applied for Personal Information and Location in your Equity Schemes (SEAS) & Scholarships application.
  • We have already received sufficient evidence for your claim.

How to Change Your Name in Your VTAC Account

If you need to update your name in your VTAC account, follow these steps:

  1. Log in to your VTAC account.
  2. On your home page, click "Edit personal details" under your name, VTAC ID, and email address.
  3. Scroll to the bottom of your VTAC profile page and select "Change Request."
  4. Under "Type of Change," choose "Name" and click Next.
  5. Enter your updated name and click Next.
  6. Upload evidence of your name change (e.g., Change of Name certificate, Marriage certificate, or other official documentation).
  7. Click Submit.

Your request will be reviewed by a VTAC staff member, and you will receive an email notification with the outcome.

Submitting USA High School Diploma and Admission Exam Results

If you have completed external examinations associated with college admission in the USA, such as the Scholastic Aptitude Test (SAT), Advanced Placement (AP), or ACT Test, you must provide VTAC with your official results along with your High School Diploma and transcript.

For SAT and AP Exam Results:

Request the College Board to send your results directly to VTAC by following the instructions on the College Board website. You will need to provide:

  • VTAC’s Institution Code: 3847
  • Institution Name: "VTAC – Australia"

For ACT Test Scores:

Request your ACT scores to be sent to VTAC via the ACT website, using:

  • VTAC’s College Code: 2937

Once VTAC receives your results from the relevant body, we will attach them to your application on your behalf.

Documents Required for Applicants with Studies in China

If you have completed secondary or post-secondary studies in China, you must provide evidence of your qualifications. The documents you need to submit may vary depending on the type of qualification, but generally, the following are required:

For Secondary Education:

  • China Senior Secondary School Diploma
  • National College Entrance Examination (NCEE) / Gao Kao Results (If applicable)
    • Please provide a copy of your official results issued by the relevant provincial examination authority.

For Higher Education:

  • Transcript of Results
  • Bachelor’s Degree Certificate (and/or Master’s Degree Certificate)
    • These must confirm that your degree was awarded according to the Regulations Concerning Academic Degrees in the People’s Republic of China.
  • Master’s Degree Graduation Certificate (if applicable)
    • If your graduation thesis is not included in the Master's degree certificate, please provide additional documentation showing this.

Translation Requirements:

All documents must be submitted in both the original Chinese language and English. The translation must be done by one of the following:

  • The awarding institution
  • A notary office in China
  • A NAATI-accredited translator

Requesting an Online Statement of Support

You can request an Online Statement of Support through the "Providing Evidence" page in your VTAC Portal.

How to Request an Online Statement of Support

  1. Log in to your VTAC account.
  2. Click on the "Providing Evidence" tab in the top right corner of your screen.
  3. Click the "Upload Document" button next to the SEAS category you need the statement for.
  4. Under "Request Online Statement of Support," select "Yes."
  5. Enter the email address of the responsible person providing the statement. (Ensure they have agreed to complete the form before sending the request.)
  6. Select the categories you want them to address in their statement.
  7. Scroll to the bottom of the form and click Submit.


The responsible person will receive the email with a one-time login code. Once they complete the form it will appear under the document record as submitted.

Important Note: Equity Schemes (SEAS) and Scholarships evidence records may have “Provide Document” as the action required until the closing date. This is to allow for any additional documents that you may wish to provide to support your application.

Verifying NCEA Studies

During your application, you must claim your secondary study. If you have studied or are currently studying NCEA, you need to include this in your education history.

  • If you studied NCEA in 2007 or later, VTAC can access your study records electronically. Ensure you provide your National Student Number (NSN) when submitting your claim.
  • If you studied NCEA in 2006 or earlier, you must upload your Record of Achievement through the Providing Evidence page in your VTAC account.

If you are unsure whether you need to provide evidence, check your Evidence Required list in the Providing Evidence page or contact VTAC at (03) 9926 1020.

Understanding the ‘Action Required’ Column

The ‘Action Required’ column indicates the status of an evidence record and outlines the action you must take to fulfill the evidence requirement.

Each evidence record will display one of the following statuses:

  • Provide Document: The required evidence is outstanding. You must upload the necessary document using the ‘Upload Document’ button. Refer to the ‘Document Requested’ column for specific details.

  • Pending Review: You have successfully uploaded a document, but it has not yet been reviewed. Check back later to see if further action is required.

  • None: No further action is needed—this evidence requirement has been fulfilled.

If an uploaded document does not meet the required standard, the ‘Action Required’ status will revert to ‘Provide Document’. Ensure all necessary documentation is submitted by the deadlines listed on VTAC’s Key Dates page.

  Important Note: Equity Schemes (SEAS) and Scholarships evidence records may have “Provide Document” as the action required until the closing date. This is to allow for any additional documents that you may wish to provide to support your application.

Providing Evidence for Difficult Family and Life Circumstances

If you are applying under Difficult Family and Life Circumstances, you must provide supporting evidence. The required documents depend on your specific circumstances. Below is a summary of the evidence needed for this category.

  • In most cases, you must provide a Statement of Support from a responsible person.

  • If you have experienced homelessness, out-of-home care, domestic, family, or sexual violence you may provide either:

    • A Statement of Support OR

    • A letter from a government or community organisation (if you have engaged with one).

Bereavement Circumstances

  • If you have lost an immediate family member (parent, guardian, or sibling), you may submit a death certificate.

  • For other bereavements (e.g., grandparents or extended family), a Statement of Support is required.

Refugee or Asylum Seeker Status

  • Currently hold a refugee or asylum seeker eligible visa: Provide your visa grant notice confirming the subclass and grant date.

  • Previously held an eligible visa: Provide a Statement of Support and, if available, a copy of your previously held visa.

Eligible Visa Subclasses: 200, 201, 202, 203, 204, 449, 785, 786, 790, 851, 866.

  • Bridging visa holders with a pending protection/safe haven visa application: Submit your bridging visa grant notice, which must include:

    • The bridging visa subclass (010, 050, or 051)

    • The grant date

    • The subclass of the pending visa

    • If applicable, judicial review documentation contesting a visa refusal decision.


Important Reminders

  • Start early: Gathering and submitting evidence can take several weeks. Check the requirements in advance and schedule necessary appointments.

  • Quality over quantity: Only submit the required documents—excess paperwork will not strengthen your application.

Submitting GCE A and AS-Level Results

Applicants with GCE A and AS Levels must provide official documentation issued by the relevant external examining board, not their school.

If you are currently studying A Levels, you must provide the official results as soon as they become available.

Before submitting any documents, ensure they meet VTAC’s documentation standards. Please see the "What types of evidence are permitted?" article.

Providing Documents in a Language Other Than English

If your documents are in a language other than English, you must also provide an approved translation from one of the following:

  • The awarding institution
  • A government agency
  • A NAATI-accredited translator (National Accreditation Authority for Translators and Interpreters). Visit NAATI for a directory of accredited translators and interpreters.
 

Providing Evidence for Financial Hardship

If you have applied for Financial Hardship, you must provide supporting evidence for your application.

If You Receive Centrelink Benefits

If you have a CRN (Customer Reference Number) and receive Centrelink payments directly into your bank account, VTAC can retrieve your financial details electronically.

To allow this, you must:

  • Provide consent for VTAC to verify your benefits with Centrelink through your SEAS application.

  • Accurately enter your CRN details. (Incorrect details will prevent Centrelink from releasing your information, making your application ineligible.)

Important: VTAC can only verify Centrelink benefits if the CRN is under your name. If the number belongs to a parent, guardian, or partner, Centrelink will not release the information to VTAC.

If you prefer not to grant VTAC access to your Centrelink records, you must upload a copy of your Centrelink benefits statement instead.

If Your Parent or Guardian Receives Centrelink Benefits or Family Tax Benefit

If you do not receive Centrelink benefits yourself but are dependent on someone who does, you must upload:

  • A copy of your parent’s or guardian’s Centrelink Statement of Benefit or Family Tax Benefit statement.

Note: The document must be no older than 3 months from the time applications open.

If You Do Not Receive Centrelink Benefits

If you are experiencing financial hardship but do not receive Centrelink benefits, you must provide:

  • A brief description of your financial hardship circumstances.

  • An impact statement explaining how financial hardship affects your daily life.

  • A statement of support from a relevant person who can confirm the impact of your situation.

Providing Evidence for Equity Schemes (SEAS) & Scholarships

Most Equity Schemes (SEAS) and Scholarship applications require supporting evidence. After submitting your application, your evidence requirements will be listed on both the 'Providing Evidence' page and your home page checklist.

You can submit evidence by navigating to the 'Providing Evidence' page, or clicking on the checklist document link on the homepage to open the upload window.

  • On the upload window you are able to:
    • Upload a document via the 'Add Files' option.
    • Request an Online Statement of Support by entering your Responsible Person’s email address and selecting the relevant categories. (Note: You can send a maximum of 8 Statement of Support requests.)
    •  

All required evidence must be submitted before the Equity Schemes & Scholarships deadline. Ensure your files are in PDF or JPEG format and do not exceed 5MB, in line with VTAC’s document requirements.

Important Note: Online statements of support will not change the status of the document record. Therefore, if the online statement of support has been submitted by the responsible person, the status may still be listed as ‘Provide document’ if no other documents have been provided. This is available to you to provide any further documents before the Equity Schemes (SEAS) and Scholarships deadline, if needed.

Required Documents for Study From India

Please provide any of the following documents that apply to your secondary studies:
  • All India Senior School Certificate / Senior School Certificate awarded by the Central Board of Secondary Education
  • Indian School Certificate (Year XII/12) awarded by the Council for the Indian School Certificate Examinations
  • Senior Secondary Certificate awarded by the National Institute of Open Schooling
  • Certificate of Vocational Education awarded by the council for the Indian School Certificate Examinations

Please provide the following documents to support your higher education qualifications:

  • Unconsolidated mark sheets (including any with backlogged results, if applicable).
    • Mark sheets must be issued by the awarding university or an autonomous college.
  • Official completion certificate/degree certificate issued by the awarding university.
    • A provisional completion certificate will only be accepted if the qualification was completed within two years of your VTAC application.
